This Refund Policy explains how refunds, cancellations, course transfers and rescheduling are handled for courses, training programmes, workshops, webinars and digital learning services provided by Cognaigen.

By booking, enrolling in, or purchasing any Cognaigen course or service, you agree to this Refund Policy together with our Terms and Conditions.

1.Our approach

Cognaigen aims to be fair, transparent and reasonable in all refund decisions. We understand that circumstances can change, but we also reserve course places, allocate trainers, prepare learning materials and arrange live sessions based on confirmed enrolments.

This policy is designed to balance student flexibility with the reasonable costs incurred by Cognaigen.

2.Your legal rights

If you are purchasing as a UK consumer online, you may have a legal right to cancel within 14 days under distance-selling rules, unless the service has already started with your consent or digital content has been accessed/downloaded in circumstances where cancellation rights no longer apply. UK government guidance confirms that online and distance-selling rules include cancellation rights and separate rules for digital content.

Nothing in this Refund Policy affects your statutory consumer rights.

3.Refunds before a course starts

If you cancel your enrolment before the start date, the following refund rules apply:

50% refund or option to transfer to a future cohort / batch

No refund, unless required by law or approved by Cognaigen in exceptional circumstances

 

4. Deposits and instalments

Where a course is booked using a deposit or instalment plan:

  • A deposit may be non-refundable if it was clearly stated as non-refundable at the time of booking.
  • If you cancel after paying a deposit but before paying the full course fee, you may still be liable for any amount already due under your agreed payment plan.
  • Where a refund is approved, Cognaigen may deduct reasonable costs already incurred. UK consumer guidance states that businesses may only keep deposits or cancellation charges where reasonable and linked to actual losses caused by cancellation.

5.Digital course materials and recordings

Refunds may not be available where you have already accessed, downloaded or received digital course content, including:

  1. recorded lessons;
  2. downloadable learning materials;
  • course slides;
  1. templates;
  2. assignments;
  3. project files;
  • certificates or assessment materials;
  • access to a learning portal (LMS) or private student group.

This is because digital content may be considered delivered once access has been provided.

6.Live online classes, webinars and workshops

For live online sessions, including webinars and Saturday information sessions:

  • If the session is free, no refund applies.
  • If the session is paid and you cancel more than 48 hours before the session, Cognaigen may offer a refund, credit or transfer.
  • If you miss a live session, no refund will normally be provided. Where possible, Cognaigen may provide access to a recording or allow you to attend a future session.

 

7.Course transfer instead of refund

Where a refund is not available, Cognaigen may offer a transfer to another cohort, subject to availability.

A transfer may be offered where:

  • you are unable to attend due to genuine circumstances;
  • you notify Cognaigen early;
  • the course has not been substantially delivered;
  • a suitable future cohort is available.
  • Only one free transfer will normally be allowed. Further transfers may be subject to an admin fee.

 

8.If Cognaigen cancels or postpones a course

If Cognaigen cancels a course, you will be offered one of the following:

  1. a full refund;
  2. transfer to a future course date;
  3. credit towards another Cognaigen course.

If Cognaigen postpones a course, we will offer a new date. If the new date is not suitable, you may request a refund or transfer, depending on the circumstances.

Cognaigen is not responsible for indirect losses such as travel, accommodation, loss of earnings or other personal costs unless required by law.

9.Exceptional circumstances

Cognaigen may consider refund or transfer requests in exceptional cases, such as serious illness, bereavement or unavoidable emergency.

Evidence may be requested. Approval is not automatic and will be assessed fairly on a case-by-case basis.

10.Non-refundable items

The following are normally non-refundable:

  • registration or administration fees;
  • payment processing charges;
  • completed training sessions;
  • accessed digital content;
  • downloaded materials;
  • issued certificates;
  • missed classes;
  • discounted promotional bookings marked as non-refundable;
  • bespoke or one-to-one training already scheduled or delivered.

11.Refund processing time

  • Approved refunds will usually be processed within 14 days of approval.
  • Refunds will normally be made to the original payment method unless otherwise agreed. UK government consultation materials also refer to refund payments being made without undue delay and within 14 days after cancellation under relevant consumer rules.

13.Chargebacks and payment disputes

If you have a concern about payment, refund or course access, please contact Cognaigen first so we can try to resolve the matter.

Where a chargeback or payment dispute is raised without contacting us first, we may provide evidence to the payment provider showing course enrolment, access, attendance, communications and applicable terms.

14.Changes to this Refund Policy

Cognaigen may update this Refund Policy from time to time. The latest version will be published on our website with the updated date.

Cognaigen handles refund requests fairly and transparently. Refund eligibility depends on when cancellation is requested, whether course access has started, and whether digital materials have already been provided. Our policy does not affect your statutory consumer rights.
